Meeting minutes, decisions and personnel
The meeting ends only if you remain.

Meeting minutes containing only discussions are not read again. Decisions and action items (person in charge and deadline) were separated so that the next action was clear.

What kind of document are meeting minutes?

Meeting minutes are documents that record what was discussed and what was decided. Even people who are not present should be able to read and follow the situation, and after some time, they should be able to check, “Why was it decided that way?”

In practice, the parts that create value are the decisions and action items. Rather than transcribing the content of the discussion at length, it is much more useful to divide it into fixed and undetermined items and attach a person in charge and a deadline to each item.

If a decision has to go through the hands of another department Before business cooperationLeave a formal request and when the person in charge changes handover letterWrite down the location of these minutes in to pass the context.

Formatting

The table contains the meeting name, date and time, location, organizer/author, and attendees, and the agenda, discussion details, and decisions are placed below it. At the end, a table of action items with responsible person and due date and a schedule for the next meeting are included.

I recommend this to people like this

Meeting facilitator/secretary

When you need to organize and share as soon as the meeting is over.

project manager

When you need to track decisions and who is responsible for them and confirm them at the next meeting.

small team leader

When you need to keep records without a separate collaboration tool.

Committee/Board Secretary

When decisions must be stored in a format.

Things you can easily miss when writing

  1. 01Write down your decisions one by one in the form of “I decided to do something.” If it's buried in a paragraph, you won't be able to find it later.
  2. 02Write down the name of the person responsible for the action item, not the team. No one is responsible for the team name.
  3. 03Items that require cooperation from other departments Before business cooperationFollow this up with a formal request.
  4. 04If the schedule for the next meeting is confirmed in the meeting minutes, the separate coordination email will disappear.

Frequently Asked Questions

How detailed should the meeting minutes be?

There is no need to paraphrase the statement verbatim. It is sufficient to write a summary of the opinions for each item and leave a conclusion and its basis. However, if it is a meeting that requires a voting procedure (board of directors, general meeting, etc.), the pros and cons and voting results must be accurately recorded.

When is it okay to share?

On the day of the meeting, preferably by the morning of the next day at the latest. Corrections can only be made if attendees check the content before their memories fade. It is common to include a “confirmed if no objection” deadline in shared emails.

How many action items should you list?

This format has 3 lines as a default. If you need more, download it in Word and add lines to the table. However, if there are more than ten action items in a single meeting, often nothing is actually executed. It is better to prioritize and reduce it.

Should I write down things that haven't been decided yet?

You must write it down. If you leave something like “Pending: Re-discussion after finalizing the budget,” the same discussion will not be repeated at the next meeting. Good meeting minutes are those that show what is open.

Can I record it?

If it is a meeting where you are a party to the conversation, it is generally not a problem under the Communications Secrets Protection Act. However, since there are issues with participant trust and company policy, it is safer to inform them and ask for their consent before starting. Secret recording by anyone not involved in the conversation is not permitted.

Is an author signature required?

If it is for internal sharing, just write the name. If it is for purposes of record of resolution or external submission, it is recommended to obtain the signature or seal of the author and organizer.

This is a general form for guidance purposes. Please check the separate requirements for documents whose format is prescribed by law, such as minutes of the board of directors or general shareholders' meeting.

Meeting minutes reviews

These are stories left by those who actually wrote and submitted meeting minutes. It contains notes on areas where you got stuck while writing or the results after submission, so it is often more helpful than a guide for first-time users.

I use it to record weekly meetings. The key is to separate decisions and action items.

There is a space to write down the person in charge and the deadline, so the meeting doesn't get messy.

I also use it in sprint retrospective records. All you have to do is change the item.

It is convenient because the date and time of the meeting with the author is automatically set to today’s date.

I wrote it as minutes of apartment tenant meetings. It's not just a company document.

It is good to have an approval. Get confirmation from the team leader and keep it.

Since I don't have a meeting minutes form, I always write them on a notepad, but now I'm using these.
