What kind of document is the handover letter?

A handover letter is a document that records what, to what extent, and under what condition, when transferring a task to the next person. It is used not only when leaving the company, but also when changing departments, taking long-term leave, and replacing project managers.

Without this document, after the handover, people will say, “I didn’t hear that.” If the status of the ongoing case, the other party's contact information, and where the file is located are written down, your successor will not have to figure it out all over again. If it is a resignation procedure resignation letterIt is usually submitted with .

In practice, the transferor and receiver each sign and keep a copy, and the team leader keeps a copy. The signed document becomes the basis for later determining the scope of responsibility.

Formatting

The table contains the handover, transferor, and handover period, and below it is an overview of the work in charge, work in progress, and a list of materials, accounts, and supplies. At the end, the transferor and consignee each sign a confirmation.

I recommend this to people like this

Employee about to resign

When you need to organize everything that needs to be done for the remaining period of time.

Person in charge of moving departments

When you need to skip an ongoing case and document the status.

Team leader / manager

When you need to distribute standard forms so that work doesn't stop due to missed handovers.

Those scheduled to be on leave or dispatched

You need records that can be viewed by your agent while you are away.

Things you can easily miss when writing

  1. 01For ongoing items, write down “what to do next” before “what”. The successor can move immediately.
  2. 02If you write down the name and contact information of a customer or partner company representative, inquiries after handover will be greatly reduced.
  3. 03If you still need to request something from another department Before business cooperation Pass along a copy for context.
  4. 04Work based on matters decided at the meeting proceedings Writing down links or file locations will keep your description shorter.

Frequently Asked Questions

When should I use a handover letter?

The safest way is to draft it immediately after notice of resignation and finalize it in the last week. If you write it all on the last day, details of ongoing cases will be missing, and your successor will have no one to ask about. If you have a set handover period, share the draft at the start of that period.

How much detail should I write?

It is enough for your successor to be able to decide the next course of action just by looking at this document. For ongoing cases, write down the current status, what to do next, the person in charge and contact information on the other side, and the deadline. For simple repetitive tasks, you only need to write down data location and cycle instead of procedures.

Do I also need to write down my account password?

We do not recommend writing your password directly into the document. Just write down which account you have, who is the administrator, and to whom you should request permission transfer, and deliver the password separately in a manner that complies with company regulations. PDFs created in this format are often attached to emails as is.

An acquirer has not yet been determined.

It is common to leave the receiver blank and write the team leader's name, then obtain the signature again later when a successor is selected. Open cases will continue to flow even while the person in charge is vacant, so don't put off writing the document.

Can the company not provide severance pay because it did not hand over the contract?

Severance pay is compensation for providing work, so payment cannot be refused based on whether or not the employee has taken over the job. However, if actual damage occurs to the company due to failure to hand over, it may become a separate issue of compensation for damages, so it is safer for both parties to keep documents and records of delivery.

How many copies should I make?

Usually three copies. The transferor, recipient, and manager (team leader or human resources team) each have one copy. If you save it as a PDF and send it by email, it will be convenient to keep a record of receipt.

This is general information for guidance purposes, and the items to be written may vary depending on company regulations and security policies.

Review of handover letter

These are stories left by those who actually filled out and submitted the handover form. It contains notes on areas where you got stuck while writing or the results after submission, so it is often more helpful than a guide for first-time users.

I organized it a week before I quit my job. It was divided by item so I could see what I was missing.

I received this document as a recipient, and it was nice to be able to see at a glance the work in progress and the contact information in charge.

I tried making it in Excel, but gave up and did it here. I saved a lot of time making tickets.

The point is that there are both signature lines for the recipient and transferee. There remains evidence that it has been confirmed.

The team leader asked if I had a form, so I showed him this and he said we should unify it using this.

There is a separate section for unfinished tasks and special information, so I wrote everything down honestly. Don't contact me later

I wrote it while on leave. I thought it was only used when leaving the company, but this also happens.

I'm a developer, and I used it to write down things to transfer accounts and access rights to. Anything is possible as long as you change the items.

It is important to have a space to write down the handover date. You have to know when you passed it.
