What kind of document is the business cooperation document?

A business cooperation document is a document that formally requests another department to do work that cannot be done solely within your own department. If you make a request via messenger, no record will be left and you will be lowered in priority, but requests with a document number will be processed.

There are three key points: What you are asking for, why you need it, and how long you need it for. Without these three, the recipient cannot make a decision, so emails asking questions are sent back and forth. Keep the background brief and your requests numbered.

If the basis for the request is something decided at the meeting proceedingsAttached is an improvement in incident response procedures. InspectorIt becomes persuasive when connected to measures to prevent recurrence.

Formatting

The document number and enforcement date are placed at the top right, and the reception, reference, send, and subject are entered in a table. Below that, the details of the request for cooperation, the request deadline, attachments, and the sender's signature are placed in that order.

Things you can easily miss when writing

  1. 01Please divide your requests by number. If you write in paragraphs, the recipient loses track of what needs to be done.

  3. 03basis proceedingsPlease write down the information or materials in the attached list.
  4. 04If the person in charge is going to change handover letterLeave the number of this document in to pass the context.

Frequently Asked Questions

Is there a difference between a cooperative document and an official document?

An official document is a general term for documents exchanged from organization to organization, and a business cooperation document is a document requesting cooperation between departments within the company. When sending to an external organization, it is common to use an external official document with the company logo and seal.

How are documents numbered?

It is common to combine the department abbreviation name with the year and serial number (e.g. Marketing-2026-031). If your company has a document management policy, follow that system. If not, use it consistently within your department.

How do I distinguish between reception and reference?

Receiving is the department that actually needs to take action, and CC is the department that needs to know what's going on. If you put too many names in your references, no one will think it's your job, so put only where you need to.

How do I set a deadline for my request?

Consider the processing time of the receiving department, but it is easy to coordinate if you write down the reason for that date in one line. If you write something like “Request for a response by ○ day according to the opening schedule of ○ month ○ day,” there will be room for discussion.

Can I send it by email?

It works. If you save and attach it as a PDF, sending and receiving records remain, making it easier to manage. Please include a summary of your request and a deadline in the body.

What if I don't hear back?

It is common to re-request citing the document number. The records will continue if you send a second cooperative battle or reply reminder email with the same number. If it does not proceed repeatedly, discuss it with both department heads and discuss the results. proceedingsLeave it as

Used when requesting data from other departments. It's definitely faster than making a verbal request.

The key is to include a request for cooperation and a response deadline. The answer is coming because the deadline is short.
