What kind of document is a quote?

A quotation is a document that suggests how much an item or work will be supplied. Although it is a document at the pre-contract stage, in practice, orders are often placed as is with this document, so the conditions are as important as the amount.

Even if the amount is the same, what the other party accepts will vary depending on whether VAT is excluded or included, when the payment date is, and how long the validity period is. Terms and conditions at the bottom of the quote reduce disputes later.

Once the quote is accepted service contractConfirm the conditions and after delivery transaction statementGuess the actual supply details. If you keep the item names and amounts in the three documents the same, settlement will be much faster.

Formatting

The quotation number, date, and address are placed at the top, and the supplier information table is on the right. Below that, the total amount, 6 lines of item table, supply price, value-added tax, total, remarks and seal are placed in that order.

1Quotation information / supplier

  • Quotation number · Quotation date · Validity period
  • Recipient (company/person in charge)
  • Supplier name, representative, business registration number

2Amount/Conditions

Things you can easily miss when writing

  1. 01Please write the product name in detail so that your business partner can copy it onto the order form. later transaction statementIt is easy to contrast with .
  2. 02Payment terms must include the base date and method, such as "cash within 30 days of delivery" to avoid delays in settlement.
  3. 03For large amounts, after accepting the quotation service contractReconfirm the scope and inspection standards.
  4. 04It is easy to find the quote number later if you manage it by mixing the year and serial number (e.g. Q-2026-0142).

Frequently Asked Questions

Is VAT separate or included?

This form is a “separate” method that calculates the 10% VAT separately below the supply price. If you are a tax-exempt business or need to quote prices inclusive of VAT, please clearly state this in the remarks section. Disputes over VAT notation are most common at the quotation stage.

Is it necessary to write the expiration date on the quote?

Although it is not required by law, it is safer to write it down. If the price of raw materials or the exchange rate fluctuates, if there is no expiration date, you may be asked for the same amount even several months later. It is usually written 15 or 30 days from the date of issue.

Do I have to stamp the quote?

Although it is not a legal requirement, government offices and large corporate purchasing teams often request quotations with the company's seal. On this page, if you upload a photo of your seal, the background will be erased and replaced with the seal.

What is the difference between a quote and an order form?

A quotation is a document in which the supplier presents conditions, and an order letter is a document in which the purchasing party states that it will place an order based on those conditions. In practice, if the other party signs and returns the quotation, it is often treated as having the same effect as a contract, so do not use conditional language lightly.

What if I have more than 6 rows of items?

Just download it in Word and add lines to the table. This is an editable document with tables and paragraphs intact. If there are a lot of items, it is easier to read by grouping them into major categories, summarizing them in 6 lines, and attaching detailed information as an appendix.

I sent a quote, can I cancel it?

You can notify the other party of your withdrawal before he or she accepts it. However, if you write down the expiration date, you may be bound by the conditions presented during that period, so if there is room for change in the conditions, include a phrase such as “re-quote when raw material prices change” in the remarks.

This is a general form for guidance purposes, and tax invoice issuance and value-added tax processing differ depending on the business type. Please check with your tax agent for tax treatment.

It is convenient because once you enter the unit price, the total supply price and tax amount are automatically calculated. You don't have to turn on the calculator.

It is practical to have a box for the quote validity period. If you don't have this, you'll be in trouble later.
