What kind of document is a pay stub?

A pay stub is a document that tells workers how their wages were calculated this month. Write down on one sheet how much your basic salary and various allowances are, what and how much is missing from the four major insurance policies and taxes, and how much money is actually coming into your bank account.

From November 19, 2021, employers must provide a pay stub in writing or electronically every time wages are paid. Regardless of the number of full-time workers, it is applied if there is at least one worker, and if it is not issued or the required information is omitted, a fine will be imposed.

In practice, this document becomes the primary basis for wage disputes. This is because it is the only record that allows you to later check whether overtime pay has been calculated correctly and whether the deduction items are correct. The working conditions themselves are Standard employment contractand leave the monthly calculation results on this statement.

I recommend this to people like this

A business owner with at least one employee

If you need a standard form because you have monthly delivery obligations regardless of size.

Small business owners who calculate their own wages

When calculating wages using Excel and documents without a payroll program.

Personnel/General Affairs Manager

If you want to keep the statement format without missing information as the company standard.

Workers who want to check their salary

When you want to check whether allowances and deductions have been calculated correctly by comparing them with the statement you received.

Things you can easily miss when writing

  1. 01If there are non-taxable items, such as meals or car maintenance, write them down separately from taxable items. It will later become the basis for year-end tax settlement.
  2. 02Deductions should not be lumped together with the four major insurance policies and income tax and written down only as a “deduction system.” You must write down the amount separately for each item.
  3. 03Normal wages and average wages have different calculation standards. Severance pay and overtime allowance will vary depending on where you put the allowance item, so do not change the item name arbitrarily.
  4. 04If working conditions change Standard employment contractmust also be revised to ensure that there is no discrepancy between the specification and the contract.

Frequently Asked Questions

Do I have to give a pay stub?

You have to give it. Pursuant to Article 48, Paragraph 2 of the Labor Standards Act, whenever wages are paid, employers must provide workers with a statement listing the wage components, calculation method, and deduction details. There is no limit to the number of full-time employees, so businesses with one employee are also eligible. If you do not provide it or omit information, you may be subject to a fine.

Do I have to give it on paper?

no. This can be either written or electronic. You can send it via email, in-house computer network, text message, or even if you send the PDF created on this page by email, it will be considered issued. However, it must be done in a way that workers can verify, and it is safer to leave a record of sending it.

What information must be included?

Information that can identify the worker, such as name, date of birth, or employee number, wage payment date, total wage, amount for each component of wage, method of calculating that item, amount for each deduction item, and total amount must be included. This form contains them all.

Do I need to write down the calculation method in every item?

no. For items with fixed amounts, such as basic pay, you only need to write down the amount, but for items that vary depending on work performance, such as overtime, night, and holiday work allowances, you must write down the calculation formula. Enter “normal hourly wage 15,326 won × 8 hours × 1.5” in the calculation box.

Should daily or part-time workers also be given jobs?

You have to give it. Regardless of employment type, employees are eligible under the Labor Standards Act. For daily workers, writing down the number of working days, daily wages, and actual working hours can reduce wage disputes later.

How much is deducted from the 4 major insurance premiums?

Since the rate changes every year, it must be calculated based on the rate notified that year. It is more accurate to check national pension, health insurance, long-term care insurance, and employment insurance using the mock calculator on each corporation's website, and for income tax using the National Tax Service's Earned Income Simplified Tax Amount Table. This form is for entering the calculated amount and does not automatically apply the rate.

How long should I keep my statements?

Wage-related documents, such as wage ledgers, must be preserved for three years. It is easy to manage by saving it as a PDF every month and collecting it in a yearly folder. Certificate of employmentIt also serves as a basis for issuing career-related documents.

Is what I write saved on the server?

It is not saved. The information you enter and the uploaded stamp photo are processed only within the browser, and PDF and Word files are also created on the user's device. Salary is sensitive information, so if you worked on a public PC, click Erase when you're done.

This is general information for guidance purposes only; rates and taxes may vary from year to year. The actual calculation should follow the standards and workplace regulations notified that year, and if there is a dispute, check with a labor attorney.
